Our fall conference invites participants to explore what it means to lead at the crossroads—where uncertainty meets opportunity, where the voices of many must be heard, and where the choices we make shape the path ahead. Note: Each booth may have up to 4 representatives at no additional cost. Additional representatives are $45 each (plus lunch tickets if needed). This fee helps offset refreshment break costs. Representative names will be collected closer to the conference date when we send your confirmation materials.
Important Exhibitor Policies
MASA has sole control over all admission policies. Exhibiting at MASA conferences is open to any business whose products and values align with MASA’s mission.
Exhibitor Expectations:

Comply with all aspects of the exhibitor agreement

Treat MASA members, staff, and other exhibitors with respect
Booth & Display Guidelines:

Exhibits must remain within booth dimensions, and may not obstruct neighboring booths.

Audio-visual sound and lighting must not interfere with neighboring booths.

Use of the MASA conference logo is prohibited.
-
MASA reserves the right to restrict exhibits that detract from the general character of the event.
Meetings & Social Activities:
- No meetings, activities, or social events may be held during official conference programming without prior written approval from MASA.
Liability:
- The exhibitor assumes full responsibility and liability for any losses, damages, or claims arising from their activities at the DECC. Exhibitors agree to indemnify, defend, and hold harmless the DECC, its owners, and its management company, along with their agents, employees, and representatives, from any such losses, damages, or claims.

Exhibitor FAQs
How are booths assigned?
Booth space is reserved once you register and submit payment online. MASA Business Partner members receive priority registration through August 4, 2025, after which booth selection is open to all exhibitors.
Where can we deliver or ship our booth materials?
See the link below to the DECC additional services and order form.
When can we set up our display?

Set-Up Time: Monday, September 29, 7:00–9:45 AM
-
All booths must be fully set up by 9:45 AM. DECC staff will be available that morning if you need assistance.

Parking: Available in the DECC parking lot for $10 per day.
Important: Any booth not occupied by 10:00 AM on Monday, September 29, 2025, will be forfeited unless prior arrangements for delayed setup have been approved by MASA. Forfeited spaces may be reassigned or resold without refund.
When can we dismantle our display?
Booths may not be dismantled or packed before 3:00 PM on Monday, September 29. All booth materials must be removed from the exhibit area by the end of the conference.
What are the food service guidelines for exhibitors?
For safety and compliance, the DECC is the exclusive supplier of food and beverages in the facility.

Candy jars at your booth are allowed.

If you wish to distribute food samples, you must obtain a valid special event license as required by the Minnesota Department of Health.
What if my company needs to cancel?
Cancellations must be submitted in writing by Monday, September 8, 2025. A $75 cancellation fee applies. No refunds will be issued after September 8, 2025.
What if MASA cancels the event?
If the conference is canceled due to fire, strikes, government regulations, or other circumstances beyond MASA’s control, MASA will determine the appropriate amount of any exhibitor fee refund. MASA is not responsible for other damages or costs incurred.
How do I order additional equipment or services from the DECC?
Additional booth furniture, electrical service, hard-wired internet, and freight handling can be ordered directly through the DECC.
