The MASA Spring Conference brings Minnesota’s educational leaders together for two days of learning, leadership, and connection — and the exhibit hall is where meaningful partnerships take shape. Exhibiting gives your organization the opportunity to engage directly with school administrators and key decision-makers from across the state, share your solutions, and strengthen relationships that support student success.

Note: A maximum of four people may staff each booth. There is a $55 surcharge for each additional person (plus lunch tickets if needed). Additional lunch tickets are available for $55.

Important Exhibitor Policies
MASA has sole control over all admission policies. Exhibiting at MASA conferences is open to any business whose products and values align with MASA’s mission.
Exhibitor Expectations
Exhibitors are expected to:
- Conduct business with integrity
- Comply with all aspects of the exhibitor agreement
- Treat MASA members, staff, and other exhibitors with respect
Booth & Display Guidelines
- Exhibits may not exceed the 6’ x 8’ booth dimensions.
- No part of an exhibit may obstruct the view of adjacent exhibits.
- Audio-visual sound and lighting must not interfere with neighboring booths.
- Use of the MASA conference logo is prohibited.
- MASA reserves the right to restrict exhibits that detract from the general character of the event.
- Exhibits must be set up by 10 am and may not be dismantled and packing may not begin before 2:45 PM on Thursday, March 19.
Meetings & Social Activities
No meetings, activities, or social events may be held during official conference programming without prior written approval from MASA.
Liability
The exhibitor assumes full responsibility and liability for losses, damages, or claims arising from exhibitor activities on the hotel premises and agrees to indemnify, defend, and hold harmless the Marriott, its owners, management company, agents, and employees from any such losses, damages, or claims.

The 2026 MASA Spring Conference will be held at the Marriott Minneapolis Northwest in Brooklyn Park, MN. Exhibitors are encouraged to reserve lodging early to ensure the best availability and rate.
To book your room, visit the Marriott website or call 877-303-1681. We recommend reserving your accommodations by February 24, 2026 to ensure the best availability.
Exhibitor FAQs
How are booths assigned?
Booth space is reserved once you register and submit payment online. Exhibitors select their booth space during registration. Premium booths are highlighted on the exhibit hall map.
MASA Business Partner members receive priority registration during January 6–January 20, after which booth selection is open to all exhibitors.
Where can we deliver or ship our booth materials?
All shipments and deliveries must be made through the loading dock area. No freight will be allowed into the hotel from the main entrances.
Large or heavy items should be coordinated directly with Chrom Exposition Services. The hotel is unable to provide storage, and exhibit materials should be shipped prepaid to Chrom. Additional shipping and delivery details will be included in your exhibitor confirmation materials.
When can we set up our display?
Optional Early Set-Up: Wednesday, March 18 | 3:00–5:00 PM
Standard Set-Up: Thursday, March 19 | 8:00–10:00 AM
All booths must be fully set up by 10:00 AM on Thursday, March 19.
Important: Any booth not occupied by 9:45 AM on Thursday, March 19, 2026 will be forfeited unless prior arrangements for delayed setup have been approved by MASA. Forfeited spaces may be reassigned or resold without refund.
What are the exhibit hours?
Exhibit Hall Hours: Thursday, March 19 | 10:15 AM – 2:45 PM

When can we dismantle our display?
No displays may be dismantled or packing started before 2:45 PM on Thursday, March 19. Exhibitors must ensure all materials are removed from the exhibit area by 7:00 PM Thursday, March 19.
What are the food service guidelines for exhibitors?
Conference meals and breaks are provided through hotel catering. If you plan to provide food or beverage samples at your booth, please follow all applicable health and safety guidelines. (Optional: you can add your specific hotel policy here if Marriott provides one.)
Candy jars or small individually wrapped items at your booth are typically allowed.
What if my company needs to cancel?
Cancellations must be submitted in writing by Thursday, February 19, 2026. A $75 cancellation fee applies.
No refunds will be issued for exhibitors canceling after Thursday, February 19, 2026.
What if MASA cancels the event?
If the exhibit is canceled due to fire, strikes, government regulations, or other causes beyond MASA’s control, MASA shall determine the appropriate amount of any exhibitor fee refund. MASA is not responsible for other damages or costs incurred by exhibitors.
How do I order additional equipment or services?
Exhibitors will receive an Exhibitor Service Kit from Chrom Exposition Services in February. This kit will include ordering information for additional furniture, display options, electrical service, internet, and other vendor services.
What do I need to know about lodging?
Exhibitor registration does not include lodging. Please book directly through the Marriott website or by calling 877-303-1681.
To ensure the best availability, we encourage exhibitors to arrange lodging by February 23, 2026.
Am I able to attend conference activities?
Yes! Exhibitors are welcome to attend conference sessions and activities to network with attendees. Your exhibitor registration includes conference registration for up to four representatives, including access to all sessions and materials.

How should I dress for conference activities?
The conference atmosphere is professional but relaxed. Business casual attire is recommended.
How does the Minnesota gift law pertain to exhibitors?
Exhibitors must comply with Minnesota’s gift law:
- Booth giveaways should have a limited value of $5 per individual.
- Door prizes must be awarded to a school district, not to an individual.
