    2019 Exhibitor Fall Conference Registration

    Minnesota Association of School Administrators (MASA)

    You are invited to meet with Minnesota’s top educational leaders
    at the Minnesota Association of School Administrators (MASA) Fall Conference.

     

    Exhibit Date:

    • Monday, October 7, 10:00 am - 2:45 pm

    Set-Up:

    • Monday, October 7, 7:30 until 9:45 am

    Registration Discount Deadline:

    • Exhibitors who register by August 21 will receive a $100 discount towards the cost of their booth. Prices will increase by $100 on the 22nd.

    Exhibitors receive:

    • One 8’x10’ booth space with 8’ high background drape and 3’ high side drape (Note—tables and chairs are not included.)
    • One 7”x 44” one-line sign
    • Your interactive listing in the conference app
    • An electronic list of conference participants
    • A chance to win a free booth at the 2020 MASA/MASE Spring Conference
    • Conference registration for one person, including:

             -  All conference sessions and materials

             -  Sunday Evening Social

             -  Monday lunch & breaks for one person (Additional tickets are available for $30 each)

    We ask that you have a maximum of four people staffing your booth. There is a $30 surcharge for each person more than your allotted four (plus lunch tickets if needed). This is to offset the cost of refreshment breaks. We will ask for your representative names when we send your confirmation information, closer to the conference date.

    In addition, MASA Business Partner Members receive a discount on their exhibit booth fee, along with priority registration from July 10-23.

    An electronic file listing conference participants will be emailed to all registered exhibitors on Monday, September 23.

    The MASA Fall Conference is digital. All conference materials will only be available via our conference app. Exhibitors can customize their profile with logos, QR codes, etc. Social media allows announcements. An interactive exhibit hall map has multiple features, including meeting scheduling. More information will come with your confirmation.

    Frequently Asked Questions:

    How are booths assigned?
    Space is reserved when you register and pay for your booth space online. MASA Business Partner members receive priority registration thru July 23, after which the registration is open to everyone.

    Where can we deliver/ship our booth?
    MASA will send an exhibitor confirmation closer to the conference date including directions for shipment and storage of your booth materials.

    When can we set up our display?
    Booth setup is 7:30-9:45 am, Monday, October 7. Booth setup must be completed no later than Monday, October 7, 9:45 am. DECC staff will be available on Monday if you have any additional needs. Parking is available in the DECC parking lot for $5 per day.

    Any space not occupied by 10:00 am, Monday, October 7, 2019 will be forfeited by the Exhibitor, and the space may be resold, reassigned or used by MASA without refund, unless arrangements for delayed occupancy have received the prior approval of MASA.

    When can we dismantle our display?
    No displays may be dismantled or packing started before 2:45 PM, Monday, October 7. Exhibitors must see that all materials are removed from the Exhibit Area by conference end.

    What if my company/firm needs to cancel?
    There is a $50 cancellation fee. Cancellation of exhibit space must be submitted to the Association in writing by September 16, 2019. No refund will be given to exhibitors canceling after September 16.

    What if MASA needs to cancel the event?
    In the event of cancellation of the exhibit due to fire, strikes, government regulations, or other causes beyond the Association’s control, MASA shall not be liable to Exhibitor for any damages resulting from failure to hold the Conference as scheduled, and MASA shall determine the amount of the exhibit fee to be refunded.

    How are equipment and services handled by the DECC?

    What do I need to know about lodging?
    The fee for exhibiting does NOT include lodging. Please contact any of the hotels listed below and receive conference rates on your lodging.

    Am I able to attend conference activities?
    YES! Exhibitors are welcome to participate in all conference activities. We encourage you to network with our members by attending meals, sessions and social events. Your exhibitor registration includes Monday lunch for one person (additional tickets are available).

    How should I dress for conference activities?
    The conference atmosphere is relaxed; dress is business casual.

    How does the gift law pertain to exhibitors?
    We are asking those of you who are exhibiting to be sure that your booth giveaways comply with the gift law and have a limited value of $5 per individual. If you have a door prize to give away at the drawings on Monday afternoon, the prize must be given to the school district, not to the individual.

    Please note...

    • MASA has sole control over all admission policies.
    • Exhibits are not to exceed the booth dimensions. No part of an exhibit may obstruct the view of adjacent exhibits. Exhibitors must confine their activities to their booth space.
    • Use of the conference logo is prohibited.
    • Audio-visual sound and lighting must not interfere with adjacent exhibits.
    • MASA reserves the right to restrict exhibits that detract from the general character of the display.

    ** No meetings/activities/socials are allowed during association events without prior written approval of MASA.

    The exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of exhibitor’s activities on the DECC premises and will indemnify, defend, and hold harmless the DECC, its owner, and its management company, as well as their respective agents, servants, and employees from any and all such losses, damages, and claims.

    Plan to enjoy a day of golf and support the MASA Foundation. Golf Tournament registration will be sent to you with your exhibitor registration confirmation.

    • Welcome Reception at Grandma’s Sports Center

    Monday:

    • Exhibit Fair, 10:00 am - 2:45 pm
    • Speakers, Choice Sessions and Richard Green Scholar Presentation
    • Awards Luncheon (exhibits receive one lunch ticket with their registration, you may order more if needed)
    • Monday evening is free time for our participants, feel free to plan a dinner or activity.

    Registration is easy:

    4. Put in your credit card or Paypal information. Exhibitors may not choose to be invoiced.
    5. You will get a confirmation from MASA and a receipt directly from Paypal.
