Exhibit Date:  Thursday, March 14, 10:30 am-5:30 pm

Set-Up:  Thursday, March 14, 7 - 10:30 am

Registration Discount Deadline:  Exhibitors who register by February 1 will receive a $100 discount towards the cost of their booth.

   Exhibitors Receive:

One 7’x10’ booth space with 8’ high background drape and 3’ high side drape

One 6’ draped table and two chairs (Note—tables are 6’ long.)

One 7”x 44” one-line sign

Thursday conference registration for one person, including:

         • All conference sessions and materials

In addition, MASA Business Partner Members receive priority registration during December 3 – 14 along with a 10% discount on their exhibit booth fee.

Electronic mailing labels listing conference participants will be available Friday, February 22 for an additional charge.

NEW THIS YEAR!
The MASA/MASE Spring Conference is going digital. All conference materials will only be available via our conference app. How does this affect our exhibitors? Your attendee interactions and lead generation options will increase! Exhibitors will be able to customize their company profile with logos, prize drawing information and QR codes. An electronic exhibit hall map will be available with options for attendees to flag their favorite exhibitors, search for company contact information and schedule meetings. In the future, there will even be advertising options in the app! More information will come with your confirmation.

Please note ...

  • MASA and MASE have sole control over all admission policies.
  • MASA Business Partner members receive priority registration until December 14, after which booths are assigned based on availability.
  • The Exhibitor must name one person as its representative, to assume responsibility for its exhibit.
  • Exhibits are not to exceed the booth dimensions. No part of an exhibit may obstruct the view of adjacent exhibits. Exhibitors must confine their activities to their booth space.
  • Use of the conference logo is prohibited.
  • Audio-visual sound and lighting must not interfere with adjacent exhibits.
  • Strolling entertainment is not permitted. Samples or souvenirs must be distributed from your own booth. 
  • MASA and MASE reserve the right to restrict exhibits that detract from the general character of the display.
  • No meetings/activities/socials are allowed during association events without prior written approval of MASA.
  • All shipments and deliveries must be made at the loading dock area. No freight will be allowed into the hotel from the main hotel entrances. Arrangements for large or heavy items should be made by the Exhibitor with Hubbell/Tyner Convention & Trade Show Specialists. You will receive info with your confirmation regarding this.
  • Nothing shall be taped, posted, tacked, nailed, screwed, or otherwise attached to columns, walls, floors or other parts of the building or furniture. Signs or posters leaned on the walls must be padded.
  • Skids must be placed on all heavy pieces of equipment. All bolts or other fastenings must be countersunk. Sharp edges of nails that would cut into the floor must be eliminated.
  • All display material must be flameproof. No flammable fluids or substances may be used or shown in the booths or exhibit area. No fire exit, fire station, or fire extinguisher may be obstructed.
  • No displays may be dismantled or packing started before 5:30 PM, Thursday, March 14. Exhibitors must see that all materials are removed from the Exhibit Area by 7:00 PM, Thursday, March 14.
  • The hotel is unable to provide storage. Shipments of exhibit materials should be prepaid and are to be shipped to Hubbell/Tyner. Call Hubbell/Tyner for shipping instructions: (651) 917-2632. 
  • Any space not occupied by 10 am, Thursday, March 14, 2013 will be forfeited by the Exhibitor, and the space may be resold, reassigned or used by MASA without refund, unless arrangements for delayed occupancy have received the prior approval of MASA.
  • There is a $50 cancellation fee. Cancellation of exhibit space must be submitted to the Association in writing by February 25, 2013. No refund will be given to exhibitors canceling after February 25, 2013.
  • In the event of cancellation of the exhibit due to fire, strikes, government regulations, or other causes beyond the Association’s control, MASA and MASE shall not be liable to Exhibitor for any damages resulting from failure to hold the Conference as scheduled, and MASA and MASE shall determine the amount of the exhibit fee to be refunded.

You will receive an exhibitor service kit from Hubbell/Tyner Convention and Trade Show Specialists detailing additional furniture/display options, plus electrical, internet, telephone and AV vendor services with your confirmation.
